Connect Microsoft 365
Connect your own Microsoft work account and the Structured AI chat can work with your Outlook mail, Outlook calendar, SharePoint and OneDrive files, and Microsoft Teams. It works live, as you: it only sees what your Microsoft account can already see, and it never changes anything without your approval.
Use case: "The contractor emailed the revised door hardware spec yesterday. Bring that PDF into this project and check it against the door schedule."
This page is about letting the Structured AI chat use your Microsoft 365. To use Structured AI from your own AI app, see Connect an AI app.
Each Microsoft 365 connector starts off. Your organization owner chooses which ones members can use in Settings > Connectors. If Settings says connectors aren't available for your organization yet, ask us and we'll enable them.
What the chat can do
| Connector | Reading | Changes (only if your owner allows them, each one approved by you) |
|---|---|---|
| Outlook mail | Search and read your mail, and see which attachments a message has. To work with an attachment's contents, the chat brings it into the current project as a new document (you approve it on a card first; nothing changes in Outlook). | Create a draft, a reply or reply-all draft, or edit a draft. It never sends mail: the draft lands in your Drafts folder and you send it from Outlook. |
| Outlook calendar | List and open your events, including attendees and the join link. | Create or update an event. If the event has attendees, Outlook emails them an invitation or update from you. It can't delete or cancel an event. |
| SharePoint / OneDrive | Search and browse sites, libraries and folders; read PDFs, Word, Excel, CSV and text files; look at a PDF page as an image. Citations open the file in SharePoint in a new tab. | Save a Structured AI file into a folder as a new file or as a new version of an existing file, or create a folder. It never deletes. |
| Microsoft Teams | List your teams, channels and chats; read and search messages. | Post a plain-text message in a channel, a reply in a thread, or a chat message, under your name. |
Files are read when the chat needs them and are not stored in Structured AI: a file read in a conversation is held for at most 30 minutes, then discarded. A file only becomes a project document when you bring it in yourself, for example by importing an Outlook attachment.
The chat reads SharePoint and OneDrive files up to 300 MB each, and saves files up to 250 MiB.
Mail, files and messages are written by other people, so the chat treats what it reads there as information, never as instructions to follow.
Every call the chat makes to Microsoft 365 is recorded, reads included. There's no screen for these records in Structured AI yet; ask us if you need your organization's records.
Connect your account
- Open Settings > Connections.
- Choose Connect next to the service.
- Sign in to Microsoft with your work account and accept the access it asks for.
Each person connects their own account. Disconnect on the same page removes your connection at any time. View-only members can't use connectors.
Your organization's Microsoft administrator may need to approve the Structured AI app before members can connect. Connecting Teams at all needs a Microsoft administrator's consent first, because one permission it needs (reading channel messages) can only be granted by an admin. Until then, connecting Teams fails. Making changes needs a separate, second consent, so your IT team can approve read access first.
Approving changes
Every change the chat wants to make in Microsoft 365 appears as a card in the chat showing exactly what it will do. Nothing happens until you approve that card. This applies to every draft, event, file, folder and Teams message, every time.
For organization owners
Owners choose what members can use in Settings > Connectors (in the Organization section). For each connector:
- Allow members to connect: turns the connector on for your organization.
- Allow changes: off by default, so the chat can only read. Turning it on asks each member to reconnect and approve write access; until they do, the chat can still read but can't make changes. Every change still needs the member's approval in chat.
- Tools: turn off any individual tool you don't want the chat to use.
- Only allow saving into these folders (SharePoint / OneDrive): limit where files can be saved.
Changes save automatically. The panel also shows how many members are connected and how many need to reconnect.
If a member leaves your organization, their connections are removed.
Common questions
Can Structured AI send email as me?
No. The Outlook mail connector only creates and edits drafts, and Structured AI never asks Microsoft for permission to send mail. Calendar is the one place Outlook itself emails people: adding attendees to an event sends them an invitation from you, and you approve that event on a card first.
Does Structured AI copy our SharePoint?
No. Files are read live, as you, when the chat needs them, and held only briefly for that conversation. Nothing is indexed or processed in the background. A file only becomes a Structured AI document if someone imports or uploads it.
Do we need Microsoft 365 Copilot?
No. Structured AI works with Microsoft 365 directly through each person's own sign-in, so no Copilot licence is needed.
How do I cut off access?
Disconnect in Settings > Connections, or ask your organization owner to turn the connector off in Settings > Connectors. Removing a person from your organization removes their connections.
